I took over purchasing for a 45,000-square-foot office building in 2020. That includes HVAC supply and service orders. Before that, I knew how to change a filter and not much else. If you're running a larger facility with a building automation system, this list is not enough. That's a job for a controls engineer or a mechanical contractor who does commissioning. For a small commercial building with one or two package units, this covers the important stuff.
Our roof has a Trane 5 ton heat pump package unit. The key word is heat pump. A cooling-only package unit with gas heat uses a different thermostat and different wiring. The heat pump has a reversing valve, and the thermostat needs an O/B terminal.
The "5 ton" part is cooling capacity, about 60,000 Btu/h. It is not the weight of the machine. I initially thought it meant the unit weighed 5 tons. That mistake surfaced when I started planning how to get a replacement unit onto the roof without a crane. The actual weight is listed on the nameplate and in the unit manual.
Why does this matter? Because the thermostat, electrical requirements, and maintenance schedule all start with that exact model.
I keep a PDF copy of the Trane thermostat manual for our unit. I use it less for programming and more for wiring diagrams and error codes. When the display locked once, the manual told me which buttons to press to unlock it.
I want to say Trane posts these manuals under Product Literature on Trane's website, but don't quote me on that. I search by the model number on the thermostat label, and that gets me to the right PDF faster than searching for the phrase Trane thermostat manual.
That said, if your building automation system controls the setpoints, the thermostat manual is less useful. Then you need the sequence of operations from whoever configured the controls. The thermostat might just be a remote sensor at that point.
For small commercial systems, a universal low-voltage thermostat like a Honeywell thermostat can work with a Trane heat pump. But you have to check the wiring. A heat pump needs the O/B terminal to energize the reversing valve. The wire colors are not always standard between Trane and Honeywell.
I learned this the hard way when a warehouse tenant reported warm air in cooling mode. The thermostat had been replaced with a model that did not send the right signal to the reversing valve. The service call cost almost as much as the thermostat.
Before ordering, check the thermostat package for common wire requirements and compare that against the Trane wiring diagram. Honeywell's instructions are clear, but they can't know how your Trane 5 ton heat pump package unit was wired at the factory.
About twice a summer, someone asks me to buy a Dyson fan because a room by the windows gets too warm in the afternoon. I recommend Dyson fans for spot cooling. They're quiet, safe, and easy to clean, and they move air well in a small office. That is a legitimate use case.
I do not recommend a Dyson fan as a substitute for HVAC service. If a Trane 5 ton unit is struggling on a hot day, the answer is to check the system, not to add three fans. A fan helps people, but it does not remove heat. I keep that distinction in budget requests.
Honestly, if buying a fan delays what should be real equipment maintenance, it's not a smart purchase. But after the condenser is cleaned and the system works, a fan can make a warm corner more comfortable without running the thermostat lower.
The biggest maintenance win in my building is learning how to clean AC condenser coils. On a package unit, the condenser coil is behind the outer panel, exposed to outdoor air. When dust, pollen, and cottonwood accumulate on the fins, the heat pump works harder and energy use goes up.

If the coil cleaner is labeled eco-friendly, check what that claim actually means. Per FTC Green Guides guidelines, environmental marketing claims have to be substantiated. I stick with products that list a clear active ingredient and application instructions.
I learned the hard way to say no pressure washer. One spring, the landscaping crew offered to clean the condenser while they were power-washing the sidewalk. They folded dozens of aluminum fins, and the HVAC tech had to spend an afternoon straightening them. That was not an inexpensive call.
If the building is near cottonwood trees or active construction, plan to clean the condenser twice a year. Otherwise, once a year is usually enough in my climate.
If you need to replace a Trane 5 ton heat pump package unit, don't send a one-line request to contractors that just says need 5 ton Trane. You will get quotes with the same brand but totally different details.
Here's what I ask for in a replacement quote:
If I remember correctly, our old unit was 208 volt single phase. The first replacement bid assumed 460 volt three phase because the distributor based it on a similar project. The switch would have required a new panel feed. Check that line item before you sign.
For the file, I keep one equipment summary page per unit with model, serial number, thermostat model, and the tech who actually knows the wiring. I also keep a simple maintenance log. If I need to mail a signed contract, USPS current first-class postage for a 1-ounce envelope is $0.73, but I usually prefer email because it gives me a timestamp.
